The quality of conference proceedings is judged by the way they were produced: a clearly named outlet, genuine review, uniform formatting and open front matter. This planning guide for organisers explains how to choose a proceedings outlet, schedule the stages, write the call for papers, set up peer review, screen for originality and ethics, handle author agreements, prepare front matter and files, and follow up after publication. Starting these decisions early prevents last-minute compromises.
Begin by Choosing the Outlet
A lot of organisers only consider proceedings once the event is over. The sensible order is the opposite: settle where papers will be published before the call for papers goes out. The chosen outlet dictates the template, review requirements, author agreements, fees and identifiers. Authors, too, should be told the outlet before they submit; see how to publish a conference paper.
Select the Proceedings Outlet
| Outlet | Identifier | Suits |
|---|---|---|
| Edited volume (book) | An ISBN, plus DOIs if registered | Conferences that want a separate, citable book |
| Journal special issue | The journal’s ISSN and article DOIs | Strong papers that suit a journal’s scope |
| Online proceedings | Varies | Events run by societies that have their own platform |
| Abstract book | Sometimes ISBN | Work in progress and posters |
| Extended journal articles | Journal ISSN | Top papers once substantially extended |
The trade-offs are covered in proceedings vs journal special issue.
Plan the Stages
Start from the conference date and the publisher’s requirements and plan in reverse. Map every stage (call, submission deadline, review, decisions, camera-ready deadline, production) and confirm the order with the publisher in writing. Never give authors a publication date until the publisher has confirmed the schedule. Leave some slack between stages for late reviews and corrections.
Draft the Call for Papers
- Themesand tracks defined clearly
- Outletidentified, along with the publisher
- Templateprovided by link, with page limits given
- Reviewmodel described
- Feesregistration and publication costs listed
- Policiescovering originality, ethics and AI use
Set Up Peer Review
Assemble a programme or review committee of experts whose credentials can be checked, give each full paper at least two reviewers where feasible, supply a review form with clear criteria and record every decision. Be ready to reject or redirect some submissions, because a proceedings volume that accepts all papers loses credibility. See how to recruit peer reviewers.
Check for Originality and Ethics
- Before final acceptance, run similarity checks on full papers; see plagiarism in research papers.
- Require authors to state that their work is original and has not been published elsewhere.
- Gather ethics statements for any research that involves people or animals.
- Apply your publisher’s policy on AI use.
Agreements and Rights for Authors
For each paper, get a signed author agreement or licence in the form the publisher asks for. It should cover originality, permissions for third-party material and the licence under which the papers will be published. See copyright in academic publishing. Keep the signed copies together with the review records.
Prepare Front Matter
Front matter shows readers and evaluators what the volume contains: a title page, a copyright page with the ISBN or ISSN and licence, a preface, committee lists, a peer review statement and a table of contents. The review statement is often the first thing evaluators look for.
Get Files and Metadata Ready
- Compare each paper with the template, looking at fonts, margins, headings and references.
- Use PDFs with real text, embedded fonts and legible figures.
- Gather metadata for every paper: title, authors, affiliations, ORCID iDs, abstract and keywords.
- Before publication, verify author names and their order with each corresponding author.
Refer to the metadata checklist.
What Gives Proceedings Credibility
Authors, institutions and indexes can see quality in genuine review that includes some rejections, originality screening, a single consistent template, a described review process and an outlet named in the call. Publishing these details openly makes the volume easier to trust and easier to evaluate.
After Publication
- Send every author the published links and identifiers.
- Retain review and decision records in case questions arise later.
- Route corrections via the publisher; see corrections and retractions.
- Encourage the strongest papers to grow into journal articles, with proper disclosure.
Publishing Proceedings Through JMVRA and JW Book
Journal route (JMVRA): organisers send a conference request via the secure online form, and the editorial team examines it. Once the proposal is accepted, an MOU is issued, and eligible papers are published online and in print following editorial review. The publication fee is ₹500 + GST per conference paper. Timelines vary with the conference, the papers and the MOU. See the conference proposal page and Conference Proceedings at JMVRA: How Review Works.
Book route (JW Book): as an alternative, proceedings may be issued as an edited volume with an ISBN of its own; read about JW Book publication and book chapter publication.
JMVRA in brief
- Review: transparent, double-blind peer review, normally by at least two subject experts. Specialist reviewers assess your paper, and you receive the acceptance or rejection decision by email and WhatsApp.
- Fee: ₹971 INR for Indian authors or $41 USD for foreign authors, requested only once a paper is accepted; submitting and review cost nothing.
- Access: open access licensed CC BY 4.0; ISSN 2984-8911; issues every month; submissions welcome at any time; Crossref DOI provided on request.
- Indexing: JMVRA appears in Google Scholar and is registered with Crossref and the ISSN Portal / ROAD; it is not currently indexed in Scopus, Web of Science or DOAJ.

Running a Smooth Editorial Workflow for Conference Proceedings
Organisers carry responsibility for the quality and fairness of the volume. A tidy workflow, shared with the programme committee, prevents confusion and protects the conference's reputation.
- Assign one person to track papers. Use a shared sheet recording every submission's status, reviewer, decision and file version. A single owner for this record stops papers from slipping between committee members.
- Brief reviewers on expectations. Send a short guide explaining criteria, tone and how to declare conflicts of interest. Consistent briefing leads to fairer and more useful reports.
- Keep decision letters respectful. Explain the reasons for acceptance, revision or rejection in clear language. Authors who feel respected are more likely to improve their work and support future events.
- Collect agreements before typesetting. Obtain signed rights forms and author consent for the final text before layout begins. Chasing signatures after printing is stressful and risky.
- Run a final consistency check. Compare titles, author names, affiliations and page order between the contents list and each paper. Small mismatches in front matter are embarrassing and hard to fix later.
Good records, briefed reviewers and settled agreements let organisers deliver a proceedings volume that authors can proudly cite.
Questions Researchers Often Ask
In Summary
Strong proceedings come from planning rather than last-minute assembly. Select the outlet before the call, announce the template, review process and fees at the start, carry out real review and originality checks, collect agreements and release the volume with clear front matter and tidy files. Authors and institutions place their trust in what is visible to them.
