Your Rights
You may ask to see, correct or delete your personal data. Send such requests to [email protected].
Your Data Through Every Stage
Here the Privacy Policy is explained in practical terms. The complete, binding wording is in the JMVRA Privacy Policy, so read both ahead of submitting.
| Stage | Data used | Who sees it | Why |
|---|---|---|---|
| Submission | Your name, email, phone, affiliation and manuscript | JMVRA editorial office | To log your paper and send progress updates through email and WhatsApp |
| Double-blind review | The manuscript with author identities removed | 2–3 reviewers assigned from the subject area | To assess the work — authors and reviewers stay hidden from one another |
| Acceptance & payment | Payment details, plus your GSTIN when you request a GST invoice | An outside payment gateway; the editorial office handles the receipt | To receive the fee and give a receipt — JMVRA’s own servers never keep card details |
| Publication | The title, abstract, full text, author names and affiliations exactly as printed in the final paper | The public (open access, CC BY 4.0) | To add the work to the public scholarly record |
| DOI registration (if requested) | Article metadata covers title, author names, journal, volume/issue and DOI | Crossref along with discovery services | To assign the article a lasting identifier and connect citations |
| Archive | Records of submissions and correspondence | JMVRA editorial office | Retained for a minimum of 5 years, for archiving and audit |

Privacy Points to Review Prior to Submission
- Sign up with an email address that you own and read often, because every decision is sent to it.
- Include in the paper just those contact details you are comfortable making public.
- Include your ORCID iD to tie the paper to you instead of to a researcher whose name resembles yours.
- Make payment only to account details that [email protected] sends you after acceptance.
- Note down your paper ID and mention it whenever you make a request about your data.
Updating or Correcting Your Personal Data
- 1Write from your registered email
Email your request to [email protected], giving your paper ID.
- 2Say exactly what should change
Typical cases are a new email address, a changed phone number or a corrected spelling of your name.

The submission record is changed to show the new contact details.
- 4After publication
Any change to author names or affiliations that appear in the paper is treated as a formal correction according to COPE guidance.

Practical Tips for Protecting Your Personal Data While Publishing
Publishing involves sharing names, emails and sometimes sensitive study information, so privacy deserves thought at each stage. These habits reduce unnecessary exposure while keeping your paper complete.
- Decide what to make public. Choose which affiliation, email and biographical details you are comfortable seeing printed with your article, because published author information is difficult to withdraw later.
- Use a professional email address. Register with an institutional or dedicated address that you control and check regularly, keeping personal accounts and sensitive correspondence separate from your publishing activity.
- De-identify participant information. Remove names, locations and unusual details that could identify participants in tables, quotations and supplementary files, and confirm your consent terms allow the level of detail shown.
- Secure your accounts. Choose a strong, unique password for submission accounts, and log out on shared computers so that unfinished drafts and personal details stay private.
- Review your data after changes. If you move institutions or change contact details, update them with the journal promptly so that records stay accurate and messages reach you.
Share only what is needed, protect participants and accounts, and keep your contact details current throughout the publication process.
